Unified operating standard for intake, case handling, curriculum delivery, sponsorship stewardship, and closeout across BUSI programs.
Program Structure
Track Definitions
- Program A: behavioral accountability, required participation, structured documentation.
- Program B: faith and community restoration, mentorship, stewardship, voluntary or sponsored participation.
- Community assistance cases may connect to either program when appropriate.
Role Standard
Role Separation
- Founder/Admin: approvals, visibility, policy, and escalation.
- Coordinator: scheduling, volunteer movement, case follow-through.
- Facilitator: curriculum delivery, assessments, session notes.
- Finance/Reporting: invoice integrity, sponsorship reporting, donor stewardship.
Case Lifecycle Standard
- Pending Review: intake received and eligibility review underway.
- Approved: accepted for service, waiting on scheduling or resourcing.
- In Progress: active delivery, active service coordination, or active curriculum participation.
- On Hold: blocked by documentation, funding gap, participant pause, or scheduling issue.
- Completed: service or curriculum milestone finished and documented.
Only cases marked public and in Approved, In Progress, or Completed should appear on public-facing pages.
Required Documentation
- Intake form and participant agreement before service begins.
- Quote review when material assistance or outside vendors are involved.
- Invoice type aligned to required, voluntary, or hardship context.
- Before any certificate is issued, document payment arrangements or complete sliding-scale approval.
- Use the Community Service Time Sheet for court-assigned service hour tracking and signatures.
- Session notes and assessment evidence for curriculum participants.
- Closeout summary with next-step or follow-up date.
Follow-Up Standard
- 30-day follow-up for service stability and participant contact.
- 60-day follow-up when ongoing accountability or referrals are involved.
- 90-day follow-up for completion verification and outcomes reporting.
- Escalate unresolved risks, repeated no-response, or safety concerns to leadership.
